SCHEDULING

Sessions are agreed upon and tracked through the Tutorbird Portal. Please allow 7 days’ notice for significant scheduling changes.

PAYMENT

The parent/guardian is expected to pay in advance each month and will be charged for the entire month's scheduled sessions. Any additional time rendered will be applied to the next month’s invoice.

Payments are due on the 1st day of the month. If payment is not received by the 10th, a $150 late fee will be charged. 

You are highly encouraged to set up auto-pay in your Tutorbird Parent Portal. Once auto-pay is selected, you will be sent a monthly invoice and your card on file will be charged for the balance due. Please reach out to Kristin if you need assistance setting up your Tutorbird Parent Portal.

If payment is not received by the 15th of the month, services may be suspended.

CANCELLATION POLICY AND MAKE-UP SESSIONS

If you need to cancel or reschedule a session, you have up to 24 hours before the scheduled session to provide fair notice and you can do so through the Tutorbird Portal. If you cancel a session within 24 hours of the appointment time or fail to show up at the scheduled time of the session, it will be considered a no-show and the session will be charged for the time scheduled.

If fair notice is provided, a make-up credit will be given. You can use this credit to book a make-up session or apply the credit to the next month’s invoice.

You are responsible for getting make-ups scheduled. Unused credits will expire at the end of each semester.

In the event of an emergency and prior notice could not be given, there will be a one-time exception.

Fees are calculated according to the times stipulated in the schedule and no adjustment shall be made because of the late arrival by the student.

If the student is more than 15 minutes late to the appointment without notice, the session will be considered a no-show.

I will consider discontinuing services for students that accumulate 3 no-shows and/or late cancellations.


CANCELLATION OF LESSONS BY TUTOR 

If I need to cancel a tutoring session, I will do my best to give 24-hour notice to the student and/or parent/guardian.

If proper notice is given, you will be granted a credit to schedule a make-up session. 

If I need to cancel and 24-hour notice cannot be given, the cost of that session be will credited to the following month’s invoice should the student or parent not schedule a make-up session during that month.


COMMUNICATIONS/ADDITIONAL TIME 


Please note that you will be charged for communication needs, including parent support and scheduling resolutions (text, email, or phone call), that extend beyond a simple response. 


Communication through email is preferred. Please reserve texting for time-sensitive communications.


Additional preparation, including course research and readings, parent meetings/check-ins, and meetings with school personnel will also be charged. 


Additional Time will be billed at the session rate. 


OBLIGATIONS OF THE TUTOR


The Tutor undertakes to do all preparation prior to lessons and to structure lessons in such a way as to optimize time to the benefit of the Student.


The Tutor shall keep confidential all information of the Student and shall contact other parties involved in the education of the Student only if given permission by the Student to do so.


The Tutor shall not be required or obliged to execute homework, assignments, or assessments on behalf of the Student.


Additional preparation/parent contact time (greater than 10 minutes a week), will be billed at the session rate. 


OBLIGATIONS OF THE STUDENT & PARENT/GUARDIAN


Students should participate in tutoring sessions in a quiet location where they can be seated at a desk and ready to work with minimal distractions.


The Student must have access to a laptop or tablet with a working camera and microphone and Zoom installed to join our tutoring sessions.


The Student must bring related course materials to every session.


The Student undertakes to assist the Tutor in identifying problem areas in which the Student needs specific tutoring.


The Student agrees that assignments, exercises, or homework form an integral part of tutoring and undertakes to complete such work timeously.


The Student agrees to follow the Tutor’s advice and recommendations. 


Student and Parent/Guardian agree to track sessions through the Tutorbird Portal.


NO WARRANTIES 

The Tutor makes no promises or warranties with regard to the Student's performance as a result of any tutoring provided. 


TERMINATION OF AGREEMENT

This tutoring agreement may be terminated at any time. Either party may terminate the agreement by giving the other 7 days’ prior written notice.

If proper notice has been given, the student/family will receive a full refund for the remaining tutoring sessions in that month.

If less than 7 days’ notice is given, the student/family will receive a 50% refund for the remaining sessions.
